Start With a Complete Inventory
Log every workstation, server, switch, router, access point, UPS, printer, and telephone before anything moves. Serial numbers, asset tags, MAC addresses, IP assignments, and physical locations belong in a single inventory. Half of every IT relocation crisis traces back to something the team did not know it had: a phantom server running an old billing report, a UPS facility never registered, a network appliance in production that no one remembers commissioning. Plan the Cutover Sequence, Not Just the Move
Physically packing the servers is the smallest problem. Sequencing the shutdown, transport, boot, and validation is where most IT moves succeed or fail. Build a minute-by-minute runbook that lists each system, its dependencies, the responsible engineer, and the post-boot acceptance test. Directory services and DNS come first. Then core network. Protect the Physical Hardware in Transit
Enterprise-grade servers aren’t designed to travel loosely packed. Hard drives shift, connectors bend, and cooling fans that hit a bump can throw a blade off balance. Rack-mount servers should be de-racked, packaged in anti-static bags, and crated or padded in ATA-rated cases. Cabling comes off the switches labeled at both ends, so re-cabling at the new site is a matching exercise. Storage arrays and SAN switches need climate-controlled transit and shock monitoring on any long trip.
Coordinate With Carriers and ISPs Early
The internet circuit is the single longest-lead item in most IT relocations. New fiber installations can run 90 to 120 days from order to activation on Long Island. Order the primary and backup circuits as soon as the lease is signed. Confirm the physical demarcation point in the building, coordinate with the property manager on any conduit or riser work, and schedule a formal turn-up test the week before move-in. Notify cloud providers, SIP trunk carriers, and remote-access VPN vendors of any new source IPs and update allowlists.
Pro Tip: Keep the old office internet circuit running for at least a week after the move. Overlap is cheaper than the downtime if a routing issue turns up on move-in Monday, and it gives users a fallback during transition week.
Handle Endpoints as a Separate Workstream
Workstations, printers, and phones are their own workstream. Laptops left with employees are easy. Desktops, monitors, docking stations, and phones need labeling, boxing, and delivery to specific seats. A color-coded label system mapped to the new floor plan dramatically cuts deployment time. Coordinate with the furniture installation crew so desks are seated before the endpoint team arrives.
Test Before Anyone Sits Down
The morning after the move, the temptation is to unlock the doors and let staff come in. Resist it. Validate every core service before the first user logs in: directory authentication, file shares, email, printing, line-of-business applications, voice calling, VPN, and wireless. A user who cannot print at 8:15 a.m. generates the first ticket, and by 9 a.m. the help desk queue is unmanageable.
